Slow enquiry response time costs the average event venue over $225,000 a year in lost bookings. That figure comes from our new whitepaper on venue response time, built from planner survey data and interviews with venue sales teams.
Planning cycles have compressed. Events that used to get booked 9-12 months out are now landing in a 3-6 month window, and planners are contacting several venues at once instead of working through a shortlist one at a time. Half of them say slow response time is their biggest frustration with venues, and three quarters are now working to shorter lead times than they used to.
In practice, a venue that hasn't acknowledged an enquiry within a day is often off the shortlist before anyone has looked closely at what it offers.
The whitepaper breaks down the numbers. Respond within five minutes and a venue is 21 times more likely to qualify a lead than if it had waited half an hour. Wait a full day and proposal conversion rates drop to around 15%. Deborah Kase at Westgate Resorts and Sarah Ameson at Elior also share where the delays creep in day to day and what's worked for their teams.
No. Response time delays are usually about where enquiries get stuck between arriving and getting a reply. Fixing that bottleneck tends to matter more than adding people to the process.
