Creating A Venue Group HTML Template


Global templates can be created so that you can copy them into multiple venues. This will save valuable time 

You will need to set up a venue group before you can add your template. If you have not already set up a venue group, you can do so by following the instructions on the kb article: “Setting up a Venue Group for the Report Builder
 

To create a global HTML Template

  1. Navigate to: Global Settings > General > Merge Templates
  2. Select “Add Template”
  3. Select the type of template that you are creating, quote, beo, contract etc.
  4. Name: Give the template a name
  5. Venue Group: Select the venue group that the template applies to. Venues not in this group will not have access to this template.
  6. You will now note that the setup of your template itself is exactly the same as Setting up a HTML Template For A Quote, Contract Or BEO.
  7. Finish setting up your template and save.


You can copy your template to your venues by:

  1. Navigate to the venue that you wish to add the template to
  2. Navigate to: Venue Setup > Templates
  3. Click “Add Template”
  4. Navigate down to: “Generic Templates” and select the name of the template that you just created above.
  5. It will open the template as an editable version for you to save (copy) to your venue.
  6. If you wish to make changes specific to that venue you can do so before you save the template.
  7. Click save. This template will now be available to your venue. 

Please note:

  • With this option you are “copying” the template into the venue. If you change the global template, the changes will not update the copy in the venue. You will have to re-add the template to the venues if you wish the global changes to take effect.
  • If you change the version within the venue, it will not update the global version. It will only change for that individual venue. 

 

Using your template directly from the global section:

If you wish to use the global template rather than copying the template into your event, so any changes that are applied to the global template applies to all of the quotes and bookings: While you are within the booking, when you create a BEO, select standard templates, and the global template will appear here. (As long as its available to that venue from the venue groups)
