Creating Beverage Packages


Within the iVvy Venues Software System, Beverages Items are organised into Packages for ease of use and manageability of pricing.

These beverage packages can be added to bookings to populate beverage items on Banquet event orders, and track orders. 

Beverage Packages can be charged in the following ways:

Note: Please ensure your Beverage Items have all been entered in every format that they are sold prior to creating a Beverage Package.

To create a Beverage Package

  1. Navigate to Venues Set Up > Food & Beverage >Beverage > Packages
  2. Click on the “Add Beverage Package” button,
  3. Give the package a name such a Standard Beverage Package
  4. Set the minimum and maximum amount of people (pax) that this package will be available for.
  5. Choose the appropriate Price Method. You can choose from
    1. Hourly basis
    2. Per Person
    3. Flat Rate
    4. Total of Beverage Items


       

Creating a Beverage Package priced on an Hourly Basis

  1. Choose Hourly Rate.
  2. Select if you would like this package to be viewable on the Marketplace.
  3. If you select Yes, enter a name that you would like the Package to be seen as on the Marketplace.
  4. Select the Marketplace categories that the Package will apply to.
  5. If necessary change the cost centre from "beverage" to the cost centre of your choice. 
  6. Enter a Small Description detailing features of the Package. This will appear on your Billing Summary and within your Quotes and Contracts. It will also appear in the beverage section of your BEO
  7. Return to the top of the window and click on the Items tab. This will automatically save the package.
  8. Click on Add Item.
  9. Click on Beverage and add a Beverage that you have previously added within Beverage Items.
  10. Note as this is a Beverage Package that is priced as package and not through individual items, select the items that you have entered as Pkg or $0.
  11. Is Optional – If you would like your client to choose from a range of Beverage Items to make the package and would also like them all listed to choose from, select Optional - Yes and Can
  12. Be Removed – Yes
  13. If you have selected Yes, enter an Increase Sales Price amount if choosing this item will increase the total Beverage Package Price. If there is no increase enter $0.
  14. Enter a Minimum and Maximum amount of people (pax) if required.
  15. Is Optional – If the Beverage Items that make the package that can not be removed, select Optional - No and Can Be Removed – No
  16. Quantity – Enter a quantity if required.


     
  17. Repeat for ALL Beverage Items that are available within the package.
  18. Return to the top of the window and click on the Hourly Prices tab. This will automatically save the package entered so far.
  19. Click Add Cost
  20. Period – Enter the amount of time you wish to enter a price for e.g 30 minutes.
  21. Sales Price Per Person – Enter the amount that the package will cost for 30 minutes e.g $9.50 per person.
  22. Enter a cost of sales amount for the package for 30 minutes if required.


     
  23. Repeat for all hourly prices of the package such as
    1 hour
    2 hour
    3 hour
    4 hour
  24. Press Save

Creating a Beverage Package priced on a Flat Rate

(Could be named as Cash Bar or Bar Tab and is a predefined amount of $ spend)

  1. Choose Flat Rate.
  2. Enter a Sales Price such as $500.00
  3. Note if you enter a $0 amount you can add the confirmed amount when you make a booking
  4. Enter a Cost of Sales amount if required.
  5. Select if you would like this package to be viewable on the Marketplace
  6. If necessary change the cost centre from "beverage" to the cost centre of your choice. 
  7. If you select Yes, enter a name that you would like the Package to be seen as on the Marketplace.
  8. Select the Marketplace categories that the Package will apply to
  9. Enter a Small Description detailing features of the Package. This will appear on your Billing Summary and within your Quotes and Contracts. It will also appear in the beverage section of your BEO


     
  10. Return to the top of the window and click on the Items tab. This will automatically save the package.
  11. Click on Add Item
  12. Click on Beverage and add a Beverage that you have previously added within Beverage Items.
    Note as this is a Beverage Package that is priced at a flat rate select the items that you have entered with a price attached.
  13. Is Optional – If you would like your client to choose from a list of Beverage Items to make a range of options for the package and would also like them all listed in the BEO to choose from, select Optional - Yes and Can Be Removed – Yes
  14. Is Optional – If there is a set range of Beverage Items that make the package range and that can not be removed, select Optional - No and Can Be Removed – No
  15. Quantity – Enter a quantity if required
  16. Repeat for ALL Beverage Items that are available within the package.
  17. Press Save.


     

Creating a Beverage Package price as total of Beverage Items

(Could be named as On Consumption – No defined amount of spend)

  1. Choose Total of Beverage Items.
  2. Select if you would like this package to be viewable on the Marketplace
  3. If you select Yes, enter a name that you would like the Package to be seen as on the Marketplace.
  4. Select the Marketplace categories that the Package will apply to
  5. If necessary change the cost centre from "beverage" to the cost centre of your choice. 
  6. Enter a Small Description detailing features of the Package. This will appear on your Billing Summary and within your Quotes and Contracts. It will also appear in the beverage section of your BEO



     
  7. Return to the top of the window and click on the Items tab. This will automatically save the package.
  8. Click on Add Item
  9. Click on Beverage and add a Beverage that you have previously added within Beverage Items.
    Note as this is a Beverage Package that is priced at as Total of Beverage Items select the items that you have entered with a price attached.
  10. Is Optional – If you would like your client to choose from a list of Beverage Items to make a range of options for the package and would also like them all listed on the BEO to choose from, select Optional - Yes and Can Be Removed – Yes
  11. Is Optional – If there is a set range of Beverage Items that make the package range that can not be removed, select Optional - No and Can Be Removed – No
  12. Quantity – Enter a quantity if required
  13. Repeat for ALL Beverage Items that are available within the package.
  14. Press Save
